The U.S. Mission in Colombo is seeking eligible and qualified applicants for the position of the Motor Pool Assistant/ Dispatcher in the Motor Pool Section.

The work schedule for this position is: Full Time- 48 hours per week.

Start date: Candidate must be able to begin work within a reasonable period of time upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Performs other duties related to Motor Pool functions and Occasionally Operates all types of US government vehicles as necessary


Basic Function of Position: Maintain records and files and provides clerical support to the Motor Pool Office. Assigns drivers for scheduled and unscheduled trips. Serves as Acting Motor Pool Supervisor as needed.

Major Duties and Responsibilities:

Prepares individual vehicle usage records for all USG vehicles using ILMS/FMIS/My Service computer program with information taken from the daily vehicle usage reports, work order forms and submits monthly to Motor Pool Supervisor. -30%

Prepares works schedules for drivers regular workdays, weekends and holidays. Prepares special dispatch orders for Motor Pool Supervisors review and implementation. Assigns drivers for regularly scheduled and unscheduled trips. Answering telephone calls pertaining to very urgent and unscheduled vehicles requests via phone and arrange -20%

The incumbent of this position is responsible for proper maintain of below records: -20%

  • Maintain attendance records of Motor Pool employees. Prepare time and attendance using Win TA 3.02 and ensure timely submission of this report to the Financial Management Office through the Motor Pool Supervisor and GSO.                                                  

  • Maintain records for gasoline and diesel consumption of all official and personally owned vehicles. Type periodic accounts for Motor Pool Supervisor's review and endorsement. Forward the documents to the Financial Management Office for billing purposes.      

  • Responsible for ensuring all vehicle uses are submitted on the "vehicle Usages Reports" form on a daily basis. Check whether all sections of the vehicle usage report forms are filled out properly in order to ensure accurate submission of ICASS counts. Inform the Motor Pool Supervisor of any irregularities.                                                                                                                                        

  • Maintain a check list of Motor Pool vehicles and carry out radio check on a daily basis to ensure efficient function of communication systems. Record and report any issues to lPC.   

  • Maintain all correspondence files related to Motor Pool Functions.                                                                                                    

The incumbent of this position is responsible for assisting Motor Pool Supervisor in the following functions;-15%

  • Maintain personnel files for all Motor Pool employees                                                                                                                            

  • Maintain files for all official and personally owned vehicles                                                                                                                    

  • Coordinate renewal of annual insurance and all insurance-related functions of all state owned vehicles                                        

  • Coordinate renewal of annual licenses of all official and personally owned vehicles                                                                              

  • Maintain records of flight information for all outgoing and incoming passengers in order to take timely action for procedures and transport arrangements for arrivals and departures by the Airport Expediter and Motor Pool Supervisor.

The incumbent is responsible for the office management function of the section. Accordingly, must maintain appropriate office stationaries and vehicle spare parts up to $ 5K per month -5%

Serve as acting Motor Pool Supervisor when necessary -5%

Performs other duties related to Motor Pool functions and Occasionally Operates all types of US government vehicles as necessary- 05%

Qualifications and Evaluations


EXPERIENCE: Minimum of two years general clerical experience in a transportation/logistic field including preparation of daily transport schedules, answering phone calls, relaying messages, organizing and filing transportation documents, and data entry is required. Candidate must attach copies of relevant service/work experience certificates. 


1) Level III (Good Working Knowledge) Speaking/Reading/Writing English is required (This will be tested).

2) Level III (Good Working Knowledge) Speaking/Reading/Writing Sinhala and /or Tamil is required.

JOB KNOWLEDGE: Must have a thorough knowledge of Sri Lanka traffic regulations. Must be familiar with Colombo street plan, location of public buildings and major highways/streets in the island. Capable of attending minor/running repairs of motor vehicles. Must have a good knowledge of correspondence and clerical practices and procedures. SKILLS AND ABILITIES: Computer skills in MS Excel and Word required. Data entry skills required. Must possess a valid class ‘D’ [formally A] - driver's license. Candidate must attach a copy of the relevant driving license (Safe Driving Skills will be tested).

Education Requirements:

Completion of secondary school (Completion of G.C.E. O/L- Candidate must have passed 6 subjects including Mathematics, and possess distinctions or credits for at least 3 subject) is required. Candidate must attach relevant educational certificates.


Language: Level III English Language Proficiency will be tested.

Skills and Abilities: Safe driving skills will be tested.

Agency Benefits:

Locally Employed Staff, including Members of Household (MOHs), locally-resident EFMs and Third-Country Nationals (TCNs), working at the U.S. Mission in Colombo may receive a compensation package that may include health and other benefits as per the Local Compensation Plan.

For EFMs, benefits should be discussed with the Human Resources Office.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
