The U.S. Mission in Dar es Salaam is seeking eligible and qualified applicants for the position of Administrative Assistant (Rover).

Incumbent provides administrative support to Embassy Program Sections by covering routine absences due to Rest & Recuperation (R&R), annual leave, sick leave, training, etc. of assigned Office Management Specialists and other Administrative Assistants. Assists with special projects and VIP visits, as required by Program Section activities. Manages the flow of correspondence, files, and other information and orders supplies and equipment. Position is supervised by the Management Officer.

Assist the Management Officer in supporting Embassy program sections in a variety of administrative and support positions, particularly when the workload has increased temporarily or there is an absence of full-time staff.

In the absence of assigned staff or upon special request, the following duties will be performed in these sections:

Executive Office (EXO):
Manage the calendars and the flow of correspondence and visitors. Handle incoming and outgoing correspondence, including

sensitive requests, and ensure proper assignment, prioritization, and distribution within the EXO. Draft correspondence, documents, cables, and memos and ensure proper distribution, delivery, and/or follow-up. Arrange GSO services as needed.

Political/Economic Section (POL/ECON):
Manage incoming and outgoing correspondence and cable traffic. Draft and distribute diplomatic notes and other correspondence. Process country clearance requests and makes travel arrangements for official visitors as needed. Serve as office sponsor for new Foreign Service Officers. Prepare representational and travel vouchers for officers in the section and assist officers with travel arrangements. Inventory and order office supplies and equipment and ensure their appropriate use and maintenance. Arrange GSO services as required. Submit time and attendance for section employees. Maintain and organize files for the section.

Regional Security Office (RSO):
Manage the flow of correspondence and inquiries related to security. Process visitor access requests. Verify security clearances for badge issuance & computer access. Print Mission ID badges. Manage weekly radio checks. Perform name checks and Leahy vetting as required. Inventory and order office supplies and equipment and ensure their appropriate use and maintenance. Arrange GSO services as required. Submit time and attendance for section employees. Maintain and organize files for the section. Incumbent will be responsible for coordinating via my services the serviceability of the office equipment and badge machine.

Consular Section (CONS):
Handle overseas and local telephonic and e-mail inquiries, explaining routine and emergency requirements and procedures. Draft correspondence as required. Screen and review refugee and asylum applications and prepare for adjudication.

Public Affairs Section (PAS):
Assist with various activities in PAS as directed by section supervisor.

Other Sections:
Manage the flow of correspondence, files, and other information. Inventory and order supplies. Arrange GSO services as needed. Draft correspondence. Escort visitors. Assist with clerical/administrative duties as assigned by section supervisor.

Complete short-term Mission projects approved by Post Management Officer, which may include support to other Department of State sections and other agencies. Because of extensive activities outside of the Management Section, a security clearance is necessary.

Qualifications and Evaluations


Skills and Abilities: Strong organizational, interpersonal, and intermediate computer skills are required.

Education Requirements:

Completion of High School is required.

Language: Level IV (Fluent) speaking/writing/reading of English is required.
