The work schedule for this position is:

Basic Function of the Position:

The incumbent provides administrative and secretarial assistance to the FDA office and other FDA staff. The Administrative/Program Assistant is responsible for budget/procurement, scheduling, correspondence, and receptionist duties. In addition, s/he is responsible for assuring the function status of the FDA office’s computers/communication equipment, calling and overseeing workers to repair and/or clean equipment when needed. The incumbent maintains office supplies for the FDA office, ordering more when needed.  S/he assures delivery of mail and other embassy communications along with response and communication to other parts of the Embassy to make sure responses and communications are coordinated approximately. Serves as FDA liaison for both Embassy and outside entities regarding questions, requests for information and meetings.   

Qualifications and Evaluations


EXPERIENCE:  Three years of full-time experience in secretarial, office or administrative management, budget or financial work is required.


JOB KNOWLEDGE:  Basic level of information about FDA and its role in public health, medical research, and regular-product and consumer safety programs.

Education Requirements:

Two years of university or college studies in business administration, secretarial, public or international relations, accounting or finance is required.


LANGUAGE:  Level 4 (Fluent) Speaking/Reading/Writing of Spanish is required.  Level 4 (Fluent) Speaking/Reading/Writing of English is required.


SKILLS AND ABILITIES:  Proficiency in Outlook, word-processing, spreadsheets and databases to include Microsoft Office, Excel, Power Point and SharePoint is required. The incumbent is responsible for typing documents such as correspondence, manuscripts editing and other document preparation for the Regional Director and/or Deputy Director and FDA staff.

Agency Benefits:

Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Mission in San Jose may receive a compensation package that may include health, separation, and other benefits.

For EFMs, benefits should be discussed with the Human Resources Office.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
